We test the difficult cases too

The pilot covers invalid data, repeated requests and unavailable external systems. Before launch we define how to prevent duplicate writes and which cases need human review. Tests use agreed examples from the workflow.

Acceptance and measurement

We compare handling time and manual steps before and after the change. Acceptance checks data consistency, error behaviour and recovery. Monitoring and responses to API changes have an assigned owner.

Example: an enquiry reaches the right person

In a small trading company, someone might copy a form enquiry into a spreadsheet and later check if the contact already exists in the CRM. We would define the fields, source of truth and assignment rule. After simplifying the process, the form could create an owner task while missing required data goes to manual review. This is an illustrative workflow with no client project behind it.

We check a repeat submission and a CRM outage in the pilot. The team can see what was stored and what needs restarting. A model might help interpret free text, while fixed assignment rules remain deterministic.

Your involvement and next step

Bring one example of repeated work and your list of tools to the introductory call. After that we need a process owner, test access and decisions about exceptions. The business owner approves the objective, data scope and acceptance criteria; learning n8n configuration is unnecessary. We agree on your time commitment once we know the systems and people involved, separately for each company.

The main factors are the number of systems, API quality, business rules, execution frequency and exceptions. We need the current workflow and information about test access. Development, tooling and support costs are listed separately.

Do we need to replace all our tools?

We normally start by connecting existing systems. Replacing a tool needs a clear reason and a separate decision.

Does every automation need AI?

No. Fixed rules use a predictable workflow. We consider a model for text or interpretation, with an output check.

What does AI automation look like for a small business?

We start with one repeated workflow: inputs, rules, exceptions and an owner. We run a pilot on real cases and hand over operating instructions.

How much of my time will automation take?
