Process diagnosis

Find the right process to improve first.

When the problem needs more than a review of one chosen workflow, we agree the scope of a discovery and design sprint. We examine causes, compare ways to change the work and define priorities and acceptance criteria for the initial implementation.

Discuss this service ↗

30 minutes to discuss your needs and a next step. Work scope and pricing are agreed before we start.

Reply within 1 business day, scope and price proposal within 2 business days after the call, with the option to end the engagement after accepting the first stage.

Illustrative example

What the workflow can look like

  1. Customer enquiry
  2. Walk through the current process
  3. Map delays and ownership
  4. Decide on the first improvement
01

From symptoms to causes

The owner approves every small decision, a report needs data from several systems or enquiries stall between teams. We talk to the people doing the work and trace a real case from start to finish. We also check whether existing tools can resolve the issue.

02

Review 1 workflow or commission broader diagnosis

Diagnosis has an individually agreed analysis and design scope for a broader problem; for one chosen workflow with a questionnaire, measurements and a plan, choose: business process audit: Understand and simplify

03

What you receive after the sprint

The sprint is a standalone paid engagement. The assets stay with you and can guide your own team or another delivery partner.

  • Map of the process, roles, data and handoffs
  • List of blockers, exceptions and unnecessary steps
  • Priorities with rationale and assumptions
  • Comparison of process changes, configuration and custom development
  • Initial implementation scope and acceptance criteria
04

How we work with your team

We choose interviews, document analysis and mapping techniques, including EventStorming, to suit the problem. We need a process owner, representatives of the people doing the work and examples. Together we resolve differences between the written procedure and daily practice.

05

A decision you can evaluate

Before recommending a change, we establish a baseline: handling time, handoffs, corrections or backlog. Savings estimates state their assumptions and data sources. If implementation is not justified, we stop at improving the way work is organised.

06

Example: an enquiry moves between teams

In a small firm a new project enquiry passes through sales and delivery, but nobody knows who should act next. We trace one typical case, marking handoffs, required data and waiting points. We ask the people doing the work what happens when information is missing. This is an illustrative example with no client story behind it.

Understanding the current process gives us a baseline. We then remove unnecessary handoffs and compare changes to working practices, tool configuration and custom software. You receive a map, priorities and acceptance criteria. You can decide from these whether to commission any implementation.

07

How much of your time we need

The first call takes 30 minutes and helps choose the process. The sprint is separately quoted work with the process owner and people who carry it out. We need sample cases, documents and priority decisions; the business owner does not have to reconstruct every handoff alone. We agree on interviews, map delivery date and your time commitment before starting, based on scope. You may use the resulting assets without commissioning further work.

08

Scope and pricing

The introductory call establishes the process and fit. We then price the sprint based on participants, process complexity and analysis needs. Building a solution requires a separate decision and quote.

FAQ

Questions before getting started

Is the introductory call the diagnosis?

The call establishes fit and a next step. Diagnosis includes process work, analysis and specific deliverables, so it has its own scope and price.

Do I have to order implementation after the sprint?

No. You receive assets and a recommendation you can use independently.

Can process diagnosis help pick a first AI use case?

Yes, where the problem involves repeated work or information flow. We compare simplifying the process, configuring current tools and potentially implementing a new solution.

How should I prepare for a diagnosis sprint?

Identify a process owner, the people doing the work and a sample case from start to finish. We agree on interviews, your time commitment and price before starting.
